Hey Gabe! I'm excited to explore what working together on DealMaker 2025 would look like. I have some great ideas for how we could make this a great show, but also take some time to streaming some Standard Operating Procedures for Ethos that can be repeated down the road.

Below is a proposal of how I see us working together including project goals, pricing, timelines, etc. Please take a moment to read this over and let me know if you have any questions!

Services / Scope Of Work

Successfully produce a world-class event for Deal Maker 2025

The most important part of this show will be actually producing it. We'll work together to come up with what we need as far as gear, budget, labor, and time to put together an excellent show. To successfully produce this, I'll help you:

  • Create Run of Show documents to manage content/flow of the entire event.
  • Work in pre-production between you, Deal Maker, and the video team to make sure we're all clear on who's doing what.
  • I'll help create a production schedule to manage time and labor
  • We'll work together to plan out what equipment is needed so you can place any needed rentals
  • I'll serve as producer/TD/graphics op on site, freeing up you to run audio and let the video team handle the stream.
    • I also plan to manage all graphics for both in-room and online, and can help send content to the stream team as needed.
  • You'll have (included) access to any of the gear I own to be used to produce the show at no extra charge.
Generate Standard Operating Procedures for how Ethos Creative produces a show

As we've worked together, I've noticed some areas where we could improve the Ethos producing & pre-production process. As we plan to produce this event, we'll work together on the back end to formalize some of the regular items Ethos needs to produce an event. To do this, we'll collaborate on the following:

  1. Budget → we'll work to map out the full budget for this event, to determine what needs to be rented and where, and how to plan a high-level budget so you can produce this event fully and have a template for future events.
  2. Pre-production documents → gear/equipment spreadsheets, packing lists, production schedules, run of show documents etc.
  3. Contracts, proposals, and other client-facing documents. We've already worked together on the proposal, but I'd love to assist with creating any sort of standard documents you can use to send to clients. I'll help craft them, but for any legal language, you would need to rely on legal counsel you trust (since I'm not a lawyer).
Elevate the Ethos Creative Experience through excellent pre-production and on-site producing

Producing is much more than organizing documents and making a show happen. It's about creating a positive experience for the client, presenters, attendees, and anyone who comes in contact with Ethos Creative during the show. I'll work with you to help take things to the next level and show clients how working with Ethos Creative is a no-brainer option. To do this, we will:

  1. Standardize processes. All of the previous documentation is part of the overall producing process. I want to help you create a standard process you can take all your clients through, which will elevate the Ethos Creative brand and ultimately lead to more meaningful work.
  2. Communicate with confidence. When producing a show, the client wants to feel you've lifted a burden from them and freed them up to work on other things. A huge part of this is communication and letting the client know you have everything handled and they can relax/focus on what they need to. We'll work together to make sure the client feels confident in the overall process.
  3. Be a joy to work with. Events at this scale should be a ton of fun, they're not as complex as a concert or multi-channel musical arrangement. My goal is to help make this event not only a huge success for the audience, but a fun and enjoyable experience for everyone involved, from AV teams, to hotel staff, to the client, presenter, and attendees.

Meaningful work is fun and enjoyable. By getting organized and communicating with confidence, we'll give them an experience that gets them coming back to work with Ethos Creative for years to come.

Timeline & Deliverables

Upon signing of contract and payment of the first invoice;

  1. We will meet a few times internally to plan the project budget, talk through equipments lists, and start organizing the project. (This will all be internal and not including the client).
    1. Alex will start building run of show documents
    2. Gabe will begin to list out various equipment needed
  2. At some point in this process, we'll do an in-person walkthrough of the venue to confirm things like power drops, etc.
  3. Once we're organized, we'll have more meetings with the client and stream team to make sure we're on the same page. (At this point, I want to have direct contact with each of them so I can start taking over some of the producing elements.)
  4. We'll continue to meet regularly until the time of event, working on rentals, planning for load-in, and receiving content from various speakers.
  5. Ahead of the event, we'll have a final event run-through virtually with the client and stream team to go through the run of shows for each portion of the day, talking through mic needs and graphics.
  6. On site, I'll assist with load-in and load out of all systems, but specifically graphics and how it relates to the stream team. (I would prefer to have you hire additional hands to help set and strike things like projection.)
  7. When the show is complete, I'll help you finalize any outstanding documents and follow up with the client to end things on a high note leading up to next year.

  1. Run of Show production
  2. Budget planning
  3. Event project management
  4. Equipment lists & planning
  5. On-site graphics for room and stream
  6. Overall producing of the event on site with you

 

Pricing

What I would typically charge for this would be in the range of $5,000 - $7,500. However, knowing the limited time and budget for the whole project, I would be happy to discount the project total to a flat rate of $3,500 since we've already worked together and wanted to give you a discount from your help with Kairos and the AD Club events you've helped me with.

Payment Terms

  • Payment schedule: 50% payment ($1,750) is due 15 days after contract signing and serves as a non-refundable deposit. The remaining 50% is to be paid within 15 days of project completion.
  • This project is considered complete when Deal Maker 2025 is complete and any client follow up has taken place.
